6 tips for setting up your meeting room

The furniture and design of your meeting room must be professional for your customers and yet be comfortable for your employees. Design and furniture make the difference when designing every room in your office. Think of the color scheme and the theme of your office when you read this.

Setting up a meeting room with these 6 tips

The six tips to create the perfect meeting room are:

  1. Consistency
  2. Services
  3. Needs of your customers
  4. Natural light
  5. Formal versus informal
  6. Names of meeting rooms

Tips from our blog emphasize how you can create the perfect environment with facilities, design and furniture.

1. Consistency

You want to be sure that the furniture and the design of your meeting room correspond to the rest of the office. It doesn't have to merge and be boring, but you want to keep the colors and themes consistent, so that your total office design flows and does not bump. For example, if your office has a grayish hue, you can give the room a gray -blue color. It is still different, but consistent with the rest of your office design.

You also want to ensure that your furniture remains consistent. However, since meeting rooms are used in a more professional way, it is understandable that your meeting room has more professional furniture than the rest of your office. Whatever colors you choose, make sure they fit well together and do not collide with the color spectrum.

2. The facilities

If your customers come to you, you want to be sure that you have everything ready in the meeting room. These facilities include projectors, threads that are needed to connect your computer to the projector, water, snacks, extra pens and bloc notes. If you prepare the meeting room in advance, you have more time for your meetings than when you try to find all the supplies. Always keep your meeting room ready with everything you need, so that you are always prepared.

3. Consider the needs of your customer and colleagues

When your colleagues and customers come in, what do you think will make them comfortable? People usually go to a meeting room for meetings, and these meetings can sometimes take hours. In that case you want to be sure that the furniture and seats in your meeting room are comfortable for the back and the arms. You also want to inspect your meeting room and ensure that employees or customers have enough elbow space to be able to move comfortably if needed. Offering enough space for everyone to place his or her personal belongings can in itself be a huge comfort factor.

4. Choose a room with natural light

Natural light in a meeting room is crucial. It makes the place a lot brighter and less annoying. If you are stuck in a room without windows for hours, it can feel claustrophobic and you often get lost sight of. A meeting room with natural light keeps your customers and colleagues awake. Also, when the break comes, they can have some time to look at the window to relax their thoughts. If you do not have a meeting room with windows, make sure you get lighting that relaxes the mind and is not too light and too hard.

5. Formal vs. informal furniture

When choosing the conference furniture to be purchased, think first of your industry. If you are in accounting or in business, you certainly want furniture that is professional and formal. Now, you probably think, how can I see if a piece of furniture is professional? The answer is, because of the colors and the layout. Professional colors would be brown/black, and informal colors would be something else.

If you are in marketing or design, you will feel free to deviate from the usual formal furniture and go for something fun and interactive for your employees and customers to enjoy. You can even use a number of funky seats and bean bags on the sides to make your meetings more fun and more fun. It all comes down to your market and office theme.

6. Names of meeting room

On to the nice part! Meeting room names are always a fun activity if you get your entire team to help you. Take a poll and let your colleagues do the poll to see what the name of the winner should be. Make it fun and cooperating!

When choosing names, think of a theme that you want for all meeting rooms. That can be superheroes, TV programs, travel places, etc. Think when coming up with your umbrella name themes at your office and your colleagues. What kind of vibe do you get from your office? Is it fun/quirky/informative/serious? Once you have decided how your overall office is vibe, narrow a theme and let your employees do a poll to choose the winning names.
